The right location depends of course on what type of event you want to organize and on what scale you do, but there are also several factors that you must consider. Read more about this in this article! What do you want to convey with your event? Considerations such as geographical location, price, catering and how beautiful the location looks are important. However, much less attention is paid to the following issue: can the location support the communication process? An issue that should be at the top of everyone’s list, since conveying the message at every event is crucial. We ensure the perfect appearance of your event and above all that your message is transferred to your guests! On this page we mention points that help you choose the right location to convey your message. Which location is the most suitable for which event? Which location is the most suitable for which event? Whether you are organizing a live event, conference, wedding or business event. Another location is most suitable for each event. So the question which location fits best with the type of event you are going to organize? This is difficult to say is advance. The location tenants usually indicate on their website which event their location is most suitable for. Bases on this information you can make an initial selection in which location is suitable for your event. Of course, you always visit the location before you finally make a choice. 2. Foyer The foyer is the place where you receive the visitors of your event. Make sure this room connects to your event. For example, the space should have enough capacity for the expected number of visitors and to connect the design of the foyer to the type of event that you organize. Do not go for a luxury or kitsch foyer when you organize a very festive event. Try to empathize with your visitors and try to meet their needs and where possible to exceed them. Make clear to yourself what the foyer should meet. Which luxurious conveniences should all be present (bar, kitchen, sound, light, etc.)? always check with the landlords of the location. You want your audience to feel directly involved. 3. Cloakroom Check if the location has a cloakroom and whether it is large enough for the number of visitors. There is nothing more annoying than having to keep your coat with you all day long. 4. Capacity of the location Before you start looking for the right location, it is important to make an inventory of the number of visitors for your event. Make sure you have a margin in this so that you do not run the risk of having too small a location for your event. Most event locations have shown in their description how many visitors it is suitable for the number of square meters of the location. Make sure you find the perfect balance between the expected number of visitors and the capacity of the location. 5. Available spaces You have a location with sufficient capacity for the expected number of visitors. But does it also have various rooms to shape your event? Think of the large congress hall, different rooms for holding workshops of other activities, rooms for networking and lunch rooms. 5.1 Different setups consider in advance which arrangement you want to put the guests in the room. Do you opt for a theater setup, cabaret setup of schoolyard setup? Consider what best suits your event and map how these spaces should be. Are the dressing rooms equipped with mirrors and running water and the like? In addition, sufficient sanitation is also very important. Here, the rule of thumb for 1 toilet can be 50 persons. In case of indoor locations, the plumbing is usually sufficient, but always check this with the location lesser. The table below shows how many toilets are needed for the number of visitors for a specific duration of the event. 6. Shape and height of the room The shape of a room determines the needs of your event. Long or wide halls must be provided with the correct image and sound reinforcement so that the entire audience can see and hear everything. After all, this is essential for conveying your message. The ceiling height of the room affects the height of projection screens and stages. Projection screens can strengthen the spoken word and play an important role in presentations. Make sure you use the available space. Also check the acoustics of the location. Is there disturbing noise in the environment that can affect your event? An important factor that is usually still forgotten. 7. Rigging and AV facilities Is there rigging in the room? If so, there are possibilities to secure projectors, speakers and lights in a safe way and in the right place. With rigging and the right AV equipment you can create a great atmosphere. In addition, the presence of rigging gives a professional look to the space. Also check whether the location itself has WV facilities and if so, which ones. Preferred suppliers Many locations have a partnership with suppliers. If you use the location, you are also obliged to use them. Always check whether this is the case. This could impede you in the completion of your event. 9. Power supplies Is the power supply sufficient on your event location? Remember that not only the audiovisual materials need electricity, but also factors such as catering an heating. It also always involves some risk when everything is connected to one circuit. In this case, everything will fail at the same time is there is an overload. If there is only one circuit available, you can always rent an external generator. Remember that locations such as restaurants and office spaces often have a limited power supply, limiting the use of extensive technology. The presence of heating and/or air conditioning is not always self-evident. When you have a large indoor event that attracts many visitors, the temperature can quickly rise. Budget Finally, the budget which is of course not entirely unimportant: pay attention to your available budget. Organise an online event? Read more. Before start A beginner’s mistake is that often made when organizing events is that one immediately switches to the organization. DO NOT! It is essential to start by explaining the idea of your event and what the reason for this was. Next you determine the objectives as specifically as possible. The objectives are leading for your event. This way you start your event by setting specific objectives and your event ends with evaluating your objectives. Also examine the feasibility of the objectives and adjust them if they are not feasible. Next it is important to set the budget for the event. When this is clear, the event can take shape. Determine what kind of event it will be. Do you choose for a business event, live event or conference? Set up a profile of your target group/guests based on the type of event. Make an estimate of the size of the target group. Follow the point below to organize your event from the objectives. In this way you create an interactive platform in which you are in contact with your audience and the public with each other. Every team member has to be in possession of a script One team member is in control The director must be empowered to make decisions quickly. The team member with this function is the best able to switch quickly in unforeseen situations. Set up one person who acts as a point of all contact for all suppliers. Care for hosts/hostesses ZDuring the event, provide updates on social media about the course of the event. After As important as the preparation, – and execution phase of the event are, so important is the process of evaluating after the event. The event is still fresh in the memory. Plan the evaluation shortly after the event to make it as effective as possible. In the completion of the event, include all the point below. Give a present as a token of thanks to speakers, artists, suppliers etc. Give or send the guests a lasting reminder of the event. (photo, goody bag) Compose a press release and send it to editor of different media Evaluate the event and update the scenario where necessary for next time. Do not wait too long. The fresher the event is in the memory, the better the evaluation will be. Make a final financial report. Make a final report of the event and mention this in the newsletter. Evaluate by measuring! De tijd van een simpele bijeenkomst met een hapje en drankje, met op de achtergrond wat muziek, is volledig passé. We leven in een tijd waarin compleet andere maatstaven worden gehanteerd voor events dan voorheen. Maar aan welke voorwaarden dient een succesvol zakelijk evenement dan te voldoen? Hoe bezorg je je gasten een onvergetelijke ervaring? De onderstaande tips zullen je helpen bij het succesvol organiseren van een zakelijk evenement. Onderzoeken en brainstormen: Wat boeit je gasten? 1. Kies de meest ideale datum Eén van de belangrijkste aspecten bij het organiseren van een zakelijk evenement is het plannen van een datum en tijdstip. Wil je een zo hoog mogelijke opkomst? Door rekening te houden met de volgende factoren kies je het meest ideale evenemententijdstip. De dinsdag, woensdag en donderdag zijn de meest gangbare dagen voor het organiseren van een zakelijk evenement. Beweeg je je in de wereld van de kappers of detaillisten, dan is de maandag juist een geschikte dag vanwege de winkelsluiting. Het perfecte aanvangstijdstip voor een zakelijk event bestaat niet. Uiteraard kun je wel nagaan dat een landelijk event dat aanvangt om 09.00 uur in Amsterdam niet gaat werken. Datzelfde geldt voor een aanvang rond de middag-/avondspits. Kies je tijd zorgvuldig en houd rekening met waar je doelgroep vandaan komt. Een evenement met verschillende inlooptijden/tijdslots kunnen zeer handig zijn. Ook het seizoen is iets om rekening mee te houden. In de winter kan de weersgesteldheid nog wel eens tot vertraging leiden. Zorg voor een snelle, heldere communicatie mocht het onverhoopt toch afgelast moeten worden. Probeer je zakelijke evenement zoveel mogelijk buiten de vakantieperiodes te plannen. Ook bij de dagen rondom de feestdagen is zorgvuldigheid op z’n plaats. Mensen zijn vaak weg of nemen een extra vrije dag op waardoor zij verhindert zullen zijn op jouw evenement. Speciale evenementen kunnen ook een nadelige impact hebben op het percentage afwezigen tijdens jouw event. Speciale evenementen als landelijke beurzen en congressen of door concurrentie georganiseerde activiteiten kunnen zorgen voor een verminderde opkomst. Probeer hier zo accuraat mogelijk op te reageren. Ook sportevenementen moeten niet vergeten worden. Landelijk kijken mensen hier massaal naar. Wellicht interessant om tijdens jouw event naar het sportevenement te kijken. 2. Stel een duidelijk doel voor het evenement Je organiseert het evenement met een bepaald doel. Maak van dit doel een nauwkeurige doelstelling die duidelijk, meetbaar én haalbaar is. Het is belangrijk om de doelstelling naar zowel de organisatie van het evenement als naar de doelgroep te communiceren. Je organiseert het event immers om de doelstelling te behalen. Probeer belangrijke mededelingen zoveel mogelijk aan de start van het evenement te communiceren. De bezoekers zijn dan nog fris en zullen zodoende de boodschap beter ontvangen. Wat is het doel van jouw evenement? 3. Continue spanningsopbouw in de aanloop naar het evenement De periode voorafgaand aan een zakelijke evenement is minstens net zo belangrijk als het evenement zelf. De communicatie richting je doelgroep moet duidelijk, informatief en inspirerend zijn. De laatste van de drie wordt vaak vergeten. Het informatieve gedeelte is vaak wel op orde. Het schort hem echter vaak aan het inspirerende gedeelte. Maar wat wordt hier nou eigenlijk mee bedoelt? Simpelweg wil je je doelgroep in de aanloop naar het evenement steeds meer enthousiasmeren. Je wilt namelijk niet dat je gasten het evenement uiteindelijk alsnog vergeten. Maar hoe pak je dat aan? Door middel van teasers kun je de spanningsopbouw richting je evenement steeds verder opvoeren, zodat het enthousiasme niveau een absoluut toppunt bereikt wanneer het event van start gaat. Communicatie via nieuwsbrief, mail en social media (LinkedIn, Facebook etc.). Door regelmatig te communiceren naar en met je doelgroep zorg je voor een sterke betrokkenheid. Geef niet je gehele programma etc. prijs in het eerste contactmoment. Probeer dit tactisch op te bouwen zodat de doelgroep steeds nieuwsgieriger wordt naar wat er allemaal gaat komen. 4. Breng de interesses van je doelgroep/deelnemers/personeel goed in kaart Het is van belang om de interesses van je doelgroep/deelnemers/personeel van tevoren goed in kaart te brengen. Past het onderwerp goed bij je doelgroep, is het boeiend genoeg en sluit het voldoende aan op de actualiteit? Dit zijn allemaal vraagstukken die je vooraf beantwoord wilt hebben. Is dit niet het geval, dan is het aan te raden om je programma aan te passen. Probeer dit structureel aan te pakken. Je kunt hier als volgt bij te werk gaan. De locatie moet groot genoeg zijn om het aantal bezoekers te kunnen ontvangen. Maar niet alleen het aantal vierkante meters is in deze belangrijk. Houd er ook rekening mee dat de aanwezigheid van voldoende sanitair, zitplaatsen, zalen en andere fysieke ruimtes leidend zijn voor een goed verloop van het evenement. De uitstraling van je locatie en je doelgroep moet een match zijn. De bezoekers komen naar jouw zakelijke event toe. Zij hebben een bepaalde associatie bij jouw bedrijf en voelen zich daar prettig bij. Hetzelfde gevoel moeten zij hebben bij de uitstraling van de locatie. Probeer een locatie te vinden die naadloos aansluit op de sfeer die je wilt creëren tijdens je event. Faciliteiten. Zijn de faciliteiten voldoende aanwezig om je programma uit te voeren? Voldoende podia, horecagelegenheid voor een netwerkborrel, break-out ruimtes zijn belangrijke faciliteiten. Ook de aanwezigheid van licht, geluid, grote schermen en andere technische voorzieningen zijn absolute vereisten voor een professioneel event. Kosten. Ook het kostenplaatje is natuurlijk iets om rekening mee te houden. De kostenopbouw kan soms nogal verwarring scheppen. Veel locaties lijken op het eerste oog vrij voordelig. Extra tarieven voor losse diensten kunnen het alsnog vrij prijzig maken. De belangrijkste tip die we kunnen geven is: begin op tijd met het zoeken naar de perfect eventlocatie én neem hiervoor voldoende tijd!
