In September 2019, Bano delivered the technical production for the international Freeman CoreNet Global project at Hotel Okura Amsterdam. The project required a professional audiovisual setup for a multi-day programme with plenary sessions, parallel breakout sessions and speaker support.

The challenge

The project required technical support across several rooms inside Hotel Okura Amsterdam. In addition to the plenary room, multiple breakout rooms had to be prepared for parallel sessions. A speaker ready room was also needed, allowing speakers to prepare and check their presentations before going on stage.

Because of the international setting, the multi-day schedule and the involvement of Freeman as an international event partner, careful technical preparation was essential. The production had to be reliable, aligned with the programme and delivered professionally in a high-end hotel venue.

The solution

Bano delivered the technical setup for the plenary room, including full video, audio and lighting control. This created a professional foundation for presentations, keynotes and central programme moments.

For the breakout rooms, Bano prepared multiple rooms for parallel sessions. Each room was equipped with the technical support required for presentations, speakers and participants. The speaker ready room helped presenters prepare in advance, supporting a smoother and more reliable event flow.

Technical production at Hotel Okura

The plenary production combined video control, audio technology and lighting. Bano provided the technical control, operation and support needed throughout the programme.

The breakout rooms were set up for different parallel sessions, allowing several parts of the conference to run at the same time. For an international programme like this, scalability is important: the technology must not only work in one room, but across all rooms in a predictable and reliable way.

Crew, planning and logistics

For the execution, Bano deployed a broad crew of all-round technicians and specialists for video, audio and lighting. Team members involved included Jeroen Hemmes, Robin Griede and Dennis de Vries.

Logistics were also a key part of the project. Bano handled transport with several vehicles, including a box truck, an Atego and a Vito. Hotel accommodation was arranged for the crew at the Apollo Hotel, keeping the team close to the venue throughout the multi-day project.

Experience with Hotel Okura as a conference hub

Hotel Okura Amsterdam is a venue where Bano has supported several international conferences and business events. During Integrated Systems Europe, including the February 2020 edition, Hotel Okura functioned as a central hub for a range of specialised conferences.

These conference environments included themes such as smart buildings, control rooms, XR, digital signage and hospitality technology. Programmes like these require reliable AV technology, strong room support, clear presentation facilities and a crew that can operate within a tight schedule.

Professional execution on location

For projects at Hotel Okura, Bano works with clear agreements on crew presentation and professionalism. During build-up, crew members work in Bano clothing such as polo shirts or T-shirts. During show operation, a more formal look can be used, such as a black shirt and trousers.

This may seem like a small detail, but at international conferences and corporate events, the full impression matters. The technology needs to work, and the crew presence needs to match the venue, the client and the quality of the programme.
