Case study
Robeco conference at Hilton Amsterdam
Full technical production, widescreen projection, professional show control, audio, lighting and breakout room support for a multi-day corporate conference in Amsterdam.
Project overview
Bano delivered the full technical production for a large multi-day Robeco conference at Hilton Amsterdam. The project required a high-quality audiovisual setup for plenary sessions, workshops and parallel breakout sessions across multiple rooms.
The focus was on reliable video solutions, professional show control, clear audio, dynamic lighting and continuous technical support throughout the event programme.
- Client: Robeco
- Venue: Hilton Amsterdam
- Project type: Multi-day corporate conference
- Rooms: Ballroom A, B and C, plus Orange 1 to 6
- Bano role: Technical production, video, audio, lighting, show control, breakout room support, crew and on-site support
The challenge
The event required a complete technical setup for the Hilton Amsterdam Ballroom, divided into sections A, B and C. In addition, six breakout rooms had to be prepared for workshops and parallel sessions.
The schedule included build-up days, full rehearsal days and multiple show days. This meant that the project required more than equipment alone. Preparation, crew planning, venue coordination and flexibility during the event were all essential.
Robeco needed a professional conference environment where plenary presentations, complex visual transitions and interactive workshops could run smoothly. For Bano, this meant careful preparation, reliable technical delivery and continuous support throughout the show days.
The solution
Bano designed and delivered a technical production in which video, audio, lighting and show control worked together as one integrated setup. The Ballroom was equipped with impressive widescreen projection, professional sound reinforcement, dynamic lighting and a video control system suitable for complex presentations.
For the breakout rooms, Bano provided practical and clean presentation setups with large displays, laptops and technical support. This made it possible to run afternoon workshops and parallel sessions reliably in several rooms at the same time.
Widescreen projection and video control in the Ballroom
In the Ballroom, Bano created a widescreen projection setup on a truss frame of approximately 11 by 3.5 metres. This wide visual setup gave the plenary sessions a strong stage presence and provided space for presentations, visual content and supporting graphics.
High-end 12,000 ANSI lumen Full HD projectors were used, including hot spares for maximum reliability. This provided technical backup for critical parts of the visual setup.
Video control was handled with a Barco Encore multiscreen system. This allowed complex visual transitions and gave the show control team the flexibility to manage different content sources professionally during the programme.
Audio and lighting for a professional conference setting
For audio, Bano used a distributed sound system with Meyer Sound UPJunior loudspeakers. This helped ensure clear speech intelligibility across the full room, even in a large plenary conference setup.
Lighting was designed with Martin Mac moving heads, used to light the room, the presentation area and scenic walls. This gave the conference a professional look and created a visual environment that matched the scale and quality of the event.
Breakout rooms for workshops and parallel sessions
In addition to the plenary production, Bano provided technical setups for six Orange Rooms. These breakout rooms were equipped with 65-inch Full HD displays on design stands, laptops and presentation support.
This setup enabled several workshops and parallel sessions to take place in the afternoon, each with a suitable technical foundation for presentation and group interaction.
Specialised crew and on-site support
Bano assembled a specialised technical team for the project, including technicians for graphics, show control, audio and lighting. Scenic builders and production support were also involved in the execution.
During the show days, Bano provided continuous technical operation and support. This gave the event team a reliable technical crew on location, able to follow the programme, support presenters and respond quickly when needed.
The result
Through the combination of advanced widescreen projection, professional audio, dynamic lighting, breakout room support and precise technical show control, Bano provided a high-quality platform for Robeco’s communication objectives.
Both the plenary presentations and the interactive workshops were fully supported from a technical perspective. This case shows how Bano supports corporate conferences with reliable technology, experienced crew and calm execution on location.
Why this project is relevant
This case is relevant for organisations planning a multi-day conference, corporate event, leadership meeting, partner event or international business gathering. When plenary sessions and breakout workshops are combined, a technical partner is needed who can keep oversight across all rooms.
Bano is strong in this type of project because video, audio, lighting, show control, breakout rooms, logistics and crew planning come together in one technical production.
