Standard AV setup for a corporate roadshow in Europe

A corporate roadshow does not need to be technically overcomplicated. But it does need a clear AV setup that works reliably in different venues, cities and countries.

This guide explains the main AV, staging, sound, lighting and video elements you should think about when planning a multi city roadshow in Europe.

The best AV setup is not the biggest setup. It is the setup that keeps working.

For a roadshow, the setup has to work in the real room, with the real ceiling height, the real loading route, the real speaker schedule and the real audience.

That is why a standard AV setup should be repeatable, understandable for speakers and flexible enough to adapt per venue.

Start with the event format

The right AV setup depends on what happens in the room. A keynote, panel discussion, product demo, executive briefing or networking event all need a slightly different technical approach.

Focus on a clear screen, strong speech audio, stage lighting, confidence monitor and simple speaker control.

Plan microphones carefully, keep all faces well lit and make sure the moderator can manage audience questions smoothly.

Core AV elements for most corporate roadshows

Not every roadshow needs a large production, but most professional corporate formats need a reliable version of the following elements.

1. Main screen or LED wall

The main screen carries the message. It should be large enough for the room, bright enough for the lighting conditions and positioned so every guest can see it clearly.

Playback laptop and switcher

Use a controlled playback setup for presentations, videos and backup content instead of relying only on personal laptops.

  • Choosing the same screen size for every venue. Room shape and viewing distance should guide screen choice.
  • Underestimating speech audio. Guests forgive a simple stage faster than unclear sound.
  • Leaving lighting too basic. Poor lighting makes speakers, photos and recordings look weaker.
  • No backup for microphones or playback. Small failures become visible quickly during executive events.
  • Assuming venue Wi-Fi is enough. For demos, streaming or remote speakers, wired internet is safer.
  • No time for testing. A good setup still needs a proper technical check before doors open.
