Bano Eventcasting

Plan the digital signage for your congress

Clear information on your screens starts with preparation. Which rooms will you use, where do visitors choose their route, and who handles a change? This guide helps organisers and venues bring the relevant information together.

Bano supplies Eventcasting screens and software for congresses across Europe. We focus on 6 to 10 rooms in simultaneous use, plus foyer and wayfinding screens. Bano prepares the programme, schedule and branding. Your team makes changes during the congress.

Start with the visitor’s route

Take your floor plan and follow the route from the entrance. Mark reception, the main room, breakout rooms, refreshment areas and key junctions. Where does someone need an overview, and where will a room name and an arrow be enough?

Six rooms do not necessarily mean six screens. Your foyer and junctions may need additional displays. Note any screens already at the venue.

Prepare one checked programme overview

A draft programme is enough to get started. Use consistent room names and specify local dates and times. A useful overview might include:

  • Session title and speaker, where applicable.
  • Start and finish times.
  • Room or zone.
  • Language or additional visitor information.

These are examples of the information needed. We will agree a format for supplying it. Name the person responsible for the current version and agree how changes also reach the conference app or website.

Review the setup with the venue

Include the venue and its AV partner when planning the screens. Bano can supply Eventcasting as a separate service while another company handles sound, lighting or presentation equipment. Discuss:

  • Screen positions, sightlines and space for people to move.
  • Power points, network connections and cable routes.
  • Supplier access, loading, unloading, setup and removal.
  • Existing screens and permission to use them.

Bano assesses which existing equipment is suitable before use. Placement and technical arrangements are agreed for each venue.

Gather branding and sponsor requirements

Provide logos, brand guidelines and the languages required. Bano’s in-house designer can create reusable templates. Agree who approves copy and translations.

For existing sponsors, record which content belongs on each screen group and in which time slot. Decide whether a sponsor slot should retain its clock time when sessions run late, or move with part of the programme. Session and directional information must remain readable.

Assign preparation and update responsibilities

Bano prepares the agreed content, schedules and templates, and explains how to use the system. The organiser or venue appoints someone to manage changes during the conference. Agree:

  • Who approves a time change or room move.
  • Who enters the change and checks it on the screens.
  • Who can cover for that person and how to request support.

Technical support and any content operation you want Bano to handle are agreed in advance.

Schedule a check before visitors arrive

Agree when content will be supplied and approved, and when setup and instruction will take place. These timings depend on the conference and venue arrangements.

Have the appointed person change a session time and move a session to another room. Check the foyer overview, relevant junctions and both room entrances. The old room must clearly show the new destination. Check sponsor slots, long titles and other languages on the actual screens too.

Discuss interruptions and recovery

If the internet connection drops, previously loaded content continues according to its stored schedule, as long as the screens and players have power. Receiving new remote updates requires a working connection. Agree how to check that every relevant screen has received the latest change.

Include a restart in your checks: does the correct content return, and is the local time right? Establish who will report a problem and what support will be available.

For venues hosting regular congresses

Keep a standard record of room names, screen positions and venue contacts. Add the programme, branding and sponsor requirements for each congress. Agree who approves the content and who prepares the next event setup.

Bano can discuss rental, permanent installation or a combination for your venue. Explore digital signage for conference venues.
