Bano Eventcasting
Breakout room signage and conference wayfinding
Delegates need to know where their next session starts. When a session overruns or moves to another room, the programme overview, room displays and route screens need to show the same updated information.
Bano Eventcasting manages that information from one central programme. We supply screens and software for congresses throughout Europe, prepare the programme and branded templates, and show your team how to manage changes during the event.
A tailored proposal and cost estimate, without obligation.
Give each screen a clear job
A foyer screen helps delegates choose their next session. A room screen confirms they have arrived at the right place. A route screen points them towards the rooms from its particular position.
| Screen position | Useful information |
|---|---|
| Foyer | Programme overview with session times and rooms. |
| Outside a breakout room | The current and next session, speaker and start time. |
| Corridor or junction | Room destinations and directions appropriate to that location. |
Bano sets up these views from the same programme. Each screen gets an appropriate layout while your team maintains one shared schedule.
What happens when a session changes rooms?
Your team changes the session's room in the central programme. The change is reflected on the relevant programme overview, room screens and route points, including the old and new room.
A route arrow must make sense where the screen stands. We configure directions for each route point and check the route on site. Moving a screen to another junction may require its directions to change too.
Before doors open, we check a room change across the complete setup. Your team can see which displays are involved and practise the update.
An example with eight breakout rooms
An illustrative layout uses eight room screens, one foyer display and three route screens: twelve screens in total. We adapt this planning example to your floor plan and programme.
The right number depends on entrances, floors, sightlines and where delegates must choose a direction. A compact venue may need fewer route points than a building with several corridors. We review your layout before proposing the screen positions and costs.
Adjust the programme when sessions overrun
Displays show the current and next session using the local date and time. If a session runs over, your designated operator updates the affected times in the programme.
Agree beforehand who decides on a delay and who enters it. The displays follow the times recorded in the system. Your operator enters the agreed changes so that the screens show the revised programme.
If sponsor slots also need to move, review their timing alongside the session changes. Read more about sponsor content on conference screens.
Bano prepares the setup, your team handles changes
We configure the programme, screen groups, time schedule and event branding before the congress. Our in-house designer can help prepare reusable templates.
We show your team how to make the agreed programme and content changes. Programme changes can be made within the prepared layout, with template and screen settings protected from unintended edits. Together, we agree who will operate the system and what support you need during the event.
Plan for the venue connection
Previously loaded content continues to play according to its schedule if the internet connection drops, provided the displays and players remain powered. Receiving new updates requires a working connection.
After a restart, the setup resumes displaying the appropriate information. Before the congress, we check the network, power and restart behaviour, and confirm the support arrangements with your team.

Questions about congress signage
Can Bano supply digital signage while another company provides the AV?
Yes. You can hire Eventcasting independently. We agree the required power, network access and coordination with the venue and other suppliers.
How do we get a screen plan and costs?
Send your congress date, venue and number of rooms. Bano will discuss the layout and provide a tailored proposal and cost estimate with no obligation.
Tell us about your congress
Your dates, venue and approximate room count are enough to get started. Send a draft programme or floor plan if you have one. We will discuss a suitable setup and provide a tailored proposal and cost estimate without obligation.
