Conference signage: print, apps or digital screens?

A conference app helps delegates look up information. Screens show programmes and directions where people make decisions. Printed signs can work well for information that stays the same throughout a congress.

The right combination depends on what changes, where delegates need information and who manages it. This guide helps congress organisers and venues choose an approach for events with several rooms.

Compare the four options

Include preparation and operation in your comparison. App and digital signage software features vary by product, subscription and configuration.

Option Useful for What you need to arrange
Printed signs Fixed room names, straightforward routes and programmes with few changes. Design, printing, positioning and replacement of outdated versions. Someone needs to check that information remains correct at each location.
Conference app Information delegates look up themselves, such as sessions and speakers. Personal schedules depend on the app. Content management and access instructions. Browser access, downloads and offline availability vary between solutions.
Signage software with your own screens Venues with suitable equipment and staff to manage the software, screens and content. Check compatibility, licences, scheduling and permissions. Assign responsibility for templates, equipment configuration and checking updates.
Bano Eventcasting Congresses and venues that want screens and software together, with programme content and branding prepared. Provide Bano with your programme and venue details. Assign someone to make changes during the congress.

Start with the information your delegates need

Consider an illustrative congress with eight rooms. Room names stay the same for three days, while sessions and sponsor content change throughout the day. A fixed sign can identify each room. A room screen shows what is happening there at that time. A foyer display helps delegates compare the sessions available.

Use screens for information that changes over time or appears in several places. Choose wayfinding positions from the floor plan. An app can provide more detailed session information alongside the screens. Agree who keeps each channel up to date.

What Bano prepares for you

Bano supplies Eventcasting screens and software for congresses across Europe. The service focuses on six to ten rooms in simultaneous use, with additional foyer and wayfinding screens. You can hire Eventcasting separately when another supplier provides the rest of your event AV.

Bano sets up the programme, schedules and branding before the event. Our in-house designer can help prepare the screen layouts. During the congress, your team makes changes. Existing sponsors can appear by screen group and time slot, alongside readable programme information and directions.

For venues: hire, install or combine

Hiring can suit occasional congresses or changing screen positions. A permanent installation may suit venues that host business events regularly and use the same display positions. A combination can provide a permanent core with extra screens for larger congresses.

Compare costs over a suitable period, including configuration, transport, support, maintenance and your own staff time. Updating digital content can reduce programme reprints. Consider screen reuse, energy use and transport when choosing your setup.

Questions about your options

Can we keep our existing conference app?

Yes, apps and screens can be used alongside each other. We discuss how programme information is supplied and maintained. An automatic connection is a separate requirement to assess.

Can we use the screens already at our venue?

Bano assesses the equipment, connections and positioning to establish what can be used and what additional equipment is needed.
